Position Overview
The Courtright Group of Keller Williams Consultants Realty is seeking a positive, organized, energetic, and client-focused Office Manager & Client Experience and Events Coordinator to become an essential part of our real estate team.
This hands-on position is based at our front desk and combines a welcoming client presence with office management, transaction coordination, event planning, and marketing support. You will greet clients and visitors, keep daily operations organized, help move transactions toward closing and be responsible for follow-up transaction tasks, and take ownership of the details that make our events successful.
The ideal candidate loves variety, notices the little things, takes initiative, and enjoys helping others succeed. We are looking for a friendly problem solver who can identify what needs to be done, prioritize it, and follow through.
Schedule
Part-time
Monday–Friday, 9:00 AM–3:00 PM
(with the possibility of 1 weekday off or a ½ day)
Occasional evening and weekend availability is required for client appreciation events, community events, team events, and other business functions.
Key Responsibilities
Front Desk and Client Experience
Serve as the friendly, professional first point of contact for clients, vendors, and visitors.
Welcome guests, help direct inquiries, and ensure everyone feels comfortable and cared for.
Keep the reception area and office welcoming, tidy, and client-ready, including preparing coffee and refreshments.
Coordinate client gifts, closing gifts, thank-you notes, and other client touchpoints.
Support client appreciation initiatives and help create a thoughtful, consistent experience from the first interaction through closing and beyond.
Represent the team with warmth, professionalism, and a positive attitude.
Office Management and Team Support
Keep daily office operations organized and running efficiently.
Maintain office supplies, monitor inventory, and place orders as needed.
Coordinate mail, deliveries, office needs, and occasional business errands.
Help manage calendars, appointments, meetings, and team schedules.
Support agents with administrative tasks and help keep shared information organized.
Anticipate team needs, troubleshoot day-to-day issues, and take initiative to find solutions.
Help maintain a positive, professional, and enjoyable office environment.
Transaction Coordination
Assist agents with managing real estate transactions from contract through closing.
Track important dates, deadlines, inspections, appraisals, financing milestones, and closing requirements.
Coordinate updates and administrative communication with agents, clients, lenders, title companies, inspectors, and other transaction partners.
Maintain organized transaction files and documentation.
Follow up when documents, information, or updates are needed.
Help ensure deadlines are met and bring potential delays or missing items to the appropriate agent’s attention.
Keep agents informed so they can address issues and guide their clients throughout the transaction.
Event Planning and Community Engagement
Take ownership of planning, organizing, and coordinating client appreciation events, team events, community events, and other special events.
Manage event details from preparation through cleanup.
Research, communicate with, and coordinate vendors, venues, food, decorations, and other event services.
Order supplies and arrange services within approved budgets.
Prepare and manage invitations, RSVPs, signage, and event materials.
Coordinate setup, event-day logistics, and cleanup, and communicate assignments when additional team help is needed.
Attend and assist with events, including occasional evenings and weekends.
Help promote events through team-approved social media posts, emails, and printed materials.
Bring thoughtful ideas that make events welcoming, memorable, and connected to our clients and community.
Marketing and Social Media Support
Support the team’s marketing efforts by preparing and publishing materials
Help film team videos, including holding the camera and capturing behind-the-scenes footage.
Take photos and short videos at team activities, listings, and events as requested.
Keep marketing assets, photos, videos, and posting schedules organized.
Assist with email marketing, print materials, direct mail, and other promotional projects.
Canva and Creative Support
Canva is an important tool in this position. You should enjoy making materials look polished and be comfortable using Canva—or eager to build your skills.
Create and update flyers, invitations, social media graphics, reel covers, presentations, postcards, and event signage using established templates and team direction.
Maintain brand templates and keep materials consistent with the team’s visual identity.
Check details such as spelling, dates, contact information, and formatting before submitting materials for approval.
Learn new Canva features and tools that help make the work more efficient.

Position Requirements
Available Monday–Friday, 9:00 AM–3:00 PM.
Available for very occasional evening and weekend events.
Strong computer, organizational, and communication skills.
Comfortable interacting with clients, vendors, visitors, and team members.
Willing to run business errands.
Professional, dependable, and able to handle confidential information appropriately.
Canva experience preferred; willingness to learn is essential.
Familiarity with posting to social media.
Experience in office administration, event coordination, real estate, or transaction coordination is a plus.
A real estate license is not required.
